1. Who we are

This website (resortmanagerflex.com) is operated by Resort Manager Solutions Ltd ("we", "us", "our"), a company registered in England and Wales, the company behind Resort Manager Flex and Resort Manager Classic. 2. Information we collect

We only collect what you choose to give us. When you submit the quote-request form, we collect:

• Your name and email address
• Your property name, its approximate size (rooms/villas, number of restaurants/bars) and location
• Phone number, if you choose to provide one
• Your deployment preference and any message you write to us

If you choose to receive updates about the books IT in Hospitality and AI in Hospitality when downloading the free templates, we collect your name and email address, and — only if you choose to give them — your hotel or property name and your role. This is optional; you can download every template individually without providing anything.

We use Google Analytics to see which pages are read and where visitors arrive from, and we ask before it stores anything. Until you accept, it runs without cookies and without an identifier, so nothing is stored on your device and your visits are not linked together; declining leaves it that way. We do not use advertising or cross-site tracking cookies at all. We also measure page loading speed with Cloudflare Web Analytics, which is cookieless and needs no consent. Loading web fonts from Google Fonts means your browser makes a direct request to Google, which can see your IP address as part of that request — see Cookies & third parties below.

3. How we use your information

We use the details you submit only to:

• Respond to your enquiry and prepare a quote
• Follow up about your interest in Resort Manager Flex, including migration from Resort Manager Classic where relevant
• Keep a record of enquiries so we can provide ongoing support if you become a customer
• Send you updates about the books IT in Hospitality and AI in Hospitality and related hospitality-IT topics — only where you have explicitly opted in

We only send marketing or updates where you have expressly asked us to, such as opting in to book updates when downloading the templates. Every such email includes an unsubscribe link, and you can opt out at any time by emailing us. We do not sell or trade your information, ever.

4. Cookies & third parties

This site sets no advertising or cross-site tracking cookies. Google Analytics sets a cookie only if you accept it in the banner; if you decline, or ignore it, none is set. These third-party services are used to run the site, measure it and process enquiries:

• Google Fonts — typefaces are loaded from Google's servers, which receive your IP address as part of that request. Google's own privacy policy applies to that request.
• Google Analytics — counts page views and shows which pages are read and where visitors arrive from. It loads with consent denied by default, and only stores a cookie or an identifier if you accept. We do not use it for advertising, and no Google Ads or advertising features are enabled.
• Cloudflare — sits in front of the site, and provides Cloudflare Web Analytics, which counts page views and measures page loading speed without cookies and without storing an identifier on your device.
• SMTP2GO — our email delivery provider, used solely to send your enquiry to us and to send you a confirmation.
• HubSpot — our customer-relationship system, where we store enquiry and opt-in details so we can respond and, where you've opted in, send book updates.

We do not share your information with any other third party, and never for their own marketing purposes.

5. Data security

Your enquiry is transmitted over an encrypted (HTTPS) connection and stored on infrastructure we control. We take reasonable technical and organisational measures to protect it, but no method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.

6. How long we keep it

We keep enquiry details for as long as reasonably needed to respond to you and, if you become a customer, to support that relationship. If your enquiry doesn't proceed, you can ask us to delete your details at any time (see below).

7. Your rights

Wherever you're based, you can ask us at any time to:

• Access the personal data we hold about you
• Correct it, if anything is inaccurate
• Delete it, where we have no ongoing reason to keep it
• Withdraw consent for us to hold it, at any time

If we change how we handle personal data, we'll update this page and revise the "last updated" date above.
